About the role

This position is to operate as a Bulk Spirit Coordinator within the Bacardi UK Operations Centre (UK OC).

The UK OC is responsible for all aspects of the production and supply of Scotch Whisky and Gin and is an integral part of the Bacardi Global Operations Supply Chain.

The UK OC includes eight sites across the UK.

As Bulk Spirit Coordinator you'll be part of the Bulk Planning Team, providing support to the Bulk Planning Team Leader and undertaking tasks relating to Bulk activities and operations.

The role involves performing a variety of different tasks to ensure that the necessary Bulk operations are performed on time correctly and that the various supporting systems are up to date and correct.

Key accountabilities and responsibilities

New Make Spirit (NMS) tanker planning :

  • Creating and maintaining a distillery pickup and JDSL site delivery schedule
  • Liaising with 3rd party site planners and JDSL transport contractors to co-ordinate weekly deliveries
  • Handling of related invoices / confirmation of goods receipts and posting
  • SAP and DRAMS maintenance

  • Daily monitoring of IDOCs and investigation and correction of failed IDOCs
  • Performing stock level corrections and movements between systems - eg. STADs, ISAPs etc.
  • Performing empty cask write-offs within DRAMS
  • Investigating any SAP / DRAMS processing errors and actioning any resolutions required
  • Month / Period end reporting and closedown
  • Empty Wood Management

  • Liaising with both freight companies and cask-handling sites to co-ordinate deliveries of cask shipments into cask-handling sites
  • Co-ordinating deliveries of palletised casks into JDSL sites
  • Performing goods receipts of casks and updating of tracker
  • Creation of monthly L.E. against budget
  • Customer Sales processing :

  • Collating and processing of information relating to sales of JDSL stock through both DRAMS and SAP
  • Creation of Sales Orders and issuing of invoices to customers
  • Updating of DRAMS ownership details and charging of rent where applicable
  • Export tanker planning :

  • Liaising with external customers to plan and organise activities related to received orders
  • Co-ordination with different haulage companies to plan and arrange loading operations at JDSL sites and factor into Bulk activity plans
  • Processing the relevant documentation through DRAMS, SAP, EMCS etc.
  • Participation in UATs for new products / shipping routes
  • Stock Maintenance at external co-packers :

  • Processing of outturns from operations at co-packers
  • Processing of relevant Production Orders in SAP of co-packer operations
  • Maintaining and updating stock levels in DRAMS and SAP for co-packer locations
  • Measures of success

  • SAP and DRAMS transactions are concluded cleanly and correctly with all IDOC related issues investigated and corrected ahead of period end shutdown
  • NMS tankers are scheduled and arranged for delivery to JDSL sites on time with no disruption or delays here or at the loading sites
  • Planned export container jobs are fully completed and all relevant paperwork and system processing is carried out
  • All external co-packer operations are captured and recorded correctly each month with system stock levels updated to reflect changes
  • Activities related to the empty wood budget are captured and recorded with budget L.E.'s generated
  • All customer sales are completed and finalised within the agreed time period
  • Critical experiences for success

    WORK EXPERIENCE REQUIREMENTS

  • Knowledge of SAP and DRAMS or experience with similar MRP systems
  • Experience of working within a FMCG manufacturer, preferably drinks industry
  • Good Knowledge of MS Office
  • Highly competent in Excel
