The Monitoring, Evaluation, and Learning for Sustainability (MELS) is an Activity of the United States Agency for International Development (USAID), implemented by EnCompass and its partner, All In for Development.
MELS supports the design and development of evaluations and studies to improve the use of evidence and learning for decision : making (Component1).
EnCompass LLC is seeking an Administrative Coordinator for the USAID Monitoring, Evaluation, and Learning for Sustainability (MELS) activity in Peru.
Position DescriptionThe Administrative Coordinator will provide support to the Monitoring, Evaluation and Learning team in operations matters.
This individual will be in charge of consultancy recruitment, documentary and information management, tracking systems update, and workshops and meeting organization and follow up.
When needed, the Administrative Coordinator will support the production of documents and materials in English and in Spanish.
We are looking for someone who is highly organized, detail : oriented, proactive, and can handle multiple tasks simultaneously.
This is a full : time position based at EnCompass Lima, Peru office. Note that compensation and job duties will not change for the duration of the project.
Position Duties and ResponsibilitiesProvide support to the Operations and Finance Manager in specific administrative and logistic matters of field officeServe as primary point of contact to EnCompass Headquarters on consultant recruitment, onboarding, and invoicing processes, applying EnCompass standards and policyManage and update shared information systems and databases (including the Google Drive folders shared with USAID and partners, and the EnCompass SharePoint platform) in collaboration with the technical teamUpdate and maintain tasks and reporting trackers identifying progress delays and need of reschedulingProvide support to project meetings and workshops, including logistic support, travel arrangements, materials and documents productionDraft, edit, and format materials, activity notes, workshop reports as neededWork closely with the technical team to support the production of high : quality deliverables, appointing translators, editors, and designers and verifying the accuracy of their work in English or Spanish documentsWhen required, translate documents and provide simultaneous translations at meetingsAssist in creating and maintaining schedules and calendars for multiple tasks across the projectRequirementsAt least 10 years of experience providing administrative and / or technical support to development projectsExcellent knowledge and proven experience managing Office 365(R) platform and toolsVery good knowledge and proven experience managing virtual communications toolsKnowledge and experience with cloud : based data and information management platforms and repositories is a plusKnowledge and experience managing virtual training tools is desirableStrong work ethic and ability to work well independently and as part of a teamOutstanding interpersonal skills and ability to interact with individuals at all levelsExcellent verbal and written English skills (Able to use the language fluently and accurately on all levels normally pertinent to professional needs.
